AGM Notice Template

As you know, the ongoing Canada Post strike has halted prepaid mail service. Some BIAs will not be able to meet the Chapter 19 requirement of providing 15 days’ advance notice by mail.

To ensure BIAs can still hold AGMs and approve budgets on time, the BIA Office has requested an emergency motion be brought forward at Council (Oct 8–10) to temporarily allow alternate notice delivery methods during the postal disruption, including:

  • Hand delivery within BIA boundaries
  • Email distribution
  • Posting on BIA websites and social media
  • Requesting business tenants to forward AGM notices to their landlords/property owners

This temporary measure would remain in effect only until postal service resumes and is designed to maintain transparency and accessibility by requiring multiple notification methods.

Attached is an updated AGM template that includes the following statement, which should be added to all notices.  You may also cut and paste the following message into your existing notice:

 

DUE TO THE ONGIING CANADA POST STRIKE, ALTERNATE DELIVERY METHODS ARE BEING USED TO SHARE THIS NOTICE AS WIDELY AS POSSIBLE.

BUSINESS TENANTS ARE REQUESTED TO FORWARD THIS NOTICE TO THEIR LANDLORD/PROPERTY OWNER.
